Satisfactory Academic Progress

A student must be enrolled in a program leading to a professional certificate or degree and must maintain satisfactory academic progress in order to receive financial aid at Kilian Community College. Satisfactory academic progress is measured in two ways:

QUALITATIVE

A student must maintain a cumulative grade point average (CGPA) of at least 2.0.
If a grade of Incomplete is awarded, the student must complete the required work by the end of the second week of the next semester. Financial aid for the subsequent semester may be withheld if the Incomplete is not fulfilled by this time.

QUANTITATIVE

Maximum Time Frame: In order to maintain satisfactory progress, a student must complete his/her program within one and one-half times the length of time normally required to complete the program. The maximum time frame for students changing from one program to another and for students adding a second program will be determined on a case-by-case basis by the Director of Financial Aid and the Registrar. No financial aid is awarded after the maximum number of credits has been attempted.

Minimum Completion Requirements: A student must successfully complete at least 67% of credits attempted. This completion rate is determined on a cumulative basis. “Credits Attempted” is defined as the number of hours for which a student is registered after the final add/drop date. Repeated courses are counted toward the total credit hours attempted. Letter grades of F (failure), I (incomplete), W (withdraw), WP (withdraw pass), WF (withdraw fail), NCI (no credit issued) count as credits attempted but not satisfactorily completed.

REVIEW OF SATISFACTORY PROGRESS
Review of a student’s progress is made at the end of each semester. This review is conducted by the Financial Aid Office and the Registrar’s Office.

FINANCIAL AID PROBATION
A student who does not maintain the minimum CGPA and/or who does not meet the minimum completion requirement will be placed on probation for one semester. Financial aid will be disbursed during the probationary semester.

FINANCIAL AID SUSPENSION
If during the probationary semester the student fails to reach the qualitative and the quantitative standards, the student’s financial aid will be suspended until the minimum requirements are met. Also, students in their first semester at Kilian Community College who withdraw from all classes or fail all classes (resulting in a 0.00 CGPA) will be suspended from financial aid. There will not be a probationary semester.

REINSTATEMENT OF FINANCIAL AID Eligibility
A student will be reinstated when the he or she has successfully completed at least 67% of all attempted credits and has a CGPA of at least 2.0 and has not exceeded the maximum time frame.

APPEAL PROCESS
A student who is suspended from receipt of financial aid may request a review by submitting a written appeal to the Director of Financial Aid. The satisfactory academic appeals (SAP) committee will evaluate the student’s appeal. A student whose appeal is approved will be placed on probation for the subsequent semester. If the student performs satisfactorily for the subsequent semester but is unable in one semester to raise the CGPA or credits attempted to the minimum standard, the Director of Financial Aid will determine to continue the student’s probationary status.
